Description
Function:
The Services Coordinator is responsible for supporting the scheduling, coordination, and administration of GML’s service offerings. This position plays a key role in helping GML provide reliable, organized, and timely services to its member utilities and customers.
The Services Coordinator will primarily coordinate rubber goods/PPE testing, fleet maintenance services, and tree trimming services. This position will also serve as a trained backup to the full-time Glove Testing Technician and will assist with administrative duties such as customer communication, maintaining accurate service records, preparing quotes, sending invoices, and ordering stock and supplies.
This role requires strong attention to detail, organization, communication skills, and the ability to manage multiple service schedules and customer requests at the same time.
REPORTING RELATIONSHIP:
The Services Coordinator works under the direct supervision of the Chief Executive Officer.
The position will work closely with other GML staff, including the Glove Testing Technician, Fleet Mechanic, Tree Trimming Foreman, and other operational and administrative staff as needed.
RESPONSIBILITIES:
Scheduling and Administrative Support
- Schedule and coordinate GML services for member utilities and customers, including:
- Rubber goods and PPE testing
- Fleet maintenance services
- Tree trimming and vegetation management services
- Communicate with customers regarding service needs, scheduling availability, timelines, and follow-up.
- Track upcoming service needs, recurring testing schedules, fleet maintenance requests, and customer work orders.
- Help ensure customer requests are responded to in a timely and professional manner. Prepare and send customer quotes and estimates.
- Assist with invoicing and billing documentation.
- Order stock, supplies, PPE, and materials as needed.
- Maintain organized customer files, service records, and testing documentation.
- Assist with data entry, reporting, and internal tracking spreadsheets or software.
- Support communication between customers, vendors, and GML staff.
- Perform other administrative duties as assigned.
Glove Testing and Rubber Goods/PPE Testing Support
- Serve as a fully trained backup to GML’s full-time glove tester.
- Assist with receiving, tracking, testing, labeling, packaging, and returning rubber goods and PPE.
- Help maintain accurate testing records and customer documentation.
- Support inventory management for glove testing supplies and related stock.
Fleet Maintenance Coordination
- Schedule customer vehicles and equipment for maintenance and repair.
- Communicate with mechanics, customers, and vendors regarding service needs, timelines, parts, and work status.
- Help track open work orders, completed repairs, parts needs, and customer approvals.
- Assist with organizing fleet service records and supporting documentation.
- Help ensure timely communication with customers regarding equipment status and service completion.
QUALIFICATIONS:
- High school diploma or equivalent required.
- Prior administrative, scheduling, customer service, utility, fleet, or operations experience preferred.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple schedules, tasks, and customer requests at the same time.
- Strong attention to detail and accuracy in documentation.
- Ability to learn technical processes related to glove testing, PPE testing, and utility services.
- Comfortable working in both office and service/operations environments.
- Experience with QuickBooks Online, Microsoft Office, Google Workspace, spreadsheets, or similar systems preferred.
- Ability to work independently and as part of a team.
COMPENSATION:
Compensation is competitive and will be commensurate with the candidate’s experience, qualifications, and demonstrated skills. Factors considered include prior relevant experience in administration, scheduling, customer service, utility operations, fleet maintenance, and systems such as QuickBooks Online.
