Position Title: Program Scheduling Specialist
Reports to: Manager of Data and Scheduling

GENERAL SUMMARY:
The Program Scheduling Specialist supports NEPPA’s Administrative, Finance, Safety & Training staff in the planning and delivering of the Association’s programs. The Specialist is responsible for most administrative tasks, including scheduling, correspondence, preparation of materials, and maintenance of student records. The Specialist reports directly to the Manager of Data and Scheduling and works with other staff members as needed.

ESSENTIAL JOB FUNCTIONS:
• Assists with the administration of the Association’s safety & training programs as directed, including scheduling, notification to students, preparation of materials, record keeping, coordination with host facilities, etc.
• Processes all student registrations and maintains all student records, including data entry and production of standard and customized reports
• Collects, processes, and reconciles trainer reports
• Coordinates marketing of all training programs, including the production of course catalogues and support materials
• Maintains online educational resources, including PowerPoint and video presentations
• Organizes the use of on-site training facilities, including room setup, catering and cleanup
• Assists standing committees as directed, including sending meeting notifications and agendas and taking minutes
• Provides other administrative support including, but not limited to, answering incoming calls, responding to inquiries, filing documents, assistance with programs and activities, and participation in other special project assignments
• Assists the Data and Scheduling Manager with data analysis, problem solving, surveys, data collection, and research.
• Generate and distribute receivable invoices
• Track all merchandise inventory
• Performs other duties and functions as assigned

EDUCATION & EXPERIENCE
• Minimum Associate’s degree in science or finance based curriculum, (Bachelors Degree preferred) or equivalent experience.
• Experience in program administration, data analysis, and customer service

• Excellent communication skills, both written and verbal
• Proficiency with Microsoft Office
• Understanding of database software preferred.

WORKING CONDITIONS/PHYSICAL DEMANDS:
• Normal office environment, not subject to extreme variations of temperature, noise, odors, etc.
• Regularly uses computer keyboards requiring eye-hand coordination and finer dexterity. During events and conferences maybe required to load, unload and set up.
• Requires periodic overnight travel to participate in association meetings and conferences.
• More than half of time spent in normal office setting.
• May need to conform to member work environments, within OSHA, NEPPA and APPA acceptable safety rules.
• Lifting related to event support also required.
